Property Controller

Job Title: Property Controller
Department: Property Accounting

Responsibilities:

• Oversee and manage the Property Accounting department, which has responsibility for the consolidated and individual property financial reporting and budgeting for a portfolio of properties (180+ operating properties including retail, apartments, self-storage, and industrial)
• The duties and responsibilities for the accounting areas include, but are not limited to, the following:

Internal and External financing reporting and audits
• Responsible for the timely and accurate monthly and quarterly reporting of properties for the trust and/or its partners/co-owners
• Monitor and ensure compliance with the requirements of the various management agreements and leases
• Review significant transactions (i.e. refinancing, tenant move-in, revenue recognition). Ensure transactions are recorded accurately and on a timely basis and participate in the due diligence and statement of adjustment phases, as required
• Prepare and/or review all analysis as required to assess and manage the property in an effective and efficient manner
• Coordinate and satisfy all auditor requirements, including the trust’s audit firm and the Trust’s quarterly auditors, as well as government audits when required
• Ensure year-end CAM, tax and charge-backs are billed in a timely manner;
• Continually monitor and review accounting processes and procedures and recommend changes as appropriate to improve internal controls and/or efficiencies.
• Work and coordinate with other accounting departments to improve month-end/quarter-end packages

Management of Property Accounting
• Main point of contact for the property managers, asset management and investments teams, and co-owners/partners in dealing with accounting issues
• Deal with corporate accounting inquiries and requests on a timely basis
• Manage and mentor property staff to ensure a stabilized team
• Responsible in developing the appropriate staff structure of the accounting group and make recommendations as necessary
• Train key staff and provide right opportunities to grow and take on additional responsibilities
• Resolve performance and staffing issues, and liaise with property managers to meet their requirement

Property Business Planning and Other Projects
• Ensure timely, accurate and complete budgeting and cash flow forecasting for the properties, track to budget and prepare variance analysis on a monthly/quarterly basis
• Participate in property accounting initiatives such as system implementations
• Participate in conferences/committees with other departments to work on strategic initiatives
• Assist SVP in various ad hoc projects (i.e. prepare special reports, new system requirements, etc)

Academic/Professional Requirements:

• University degree;
• Professional Accounting designation required (CPA, CA, CGA, CMA).

Required Skills/Experience:

• Superior knowledge of accounting practices as applied to real estate development, property management, cash flow forecasting, consolidated financial and management reporting, CAM and Tax billings;
• Superior knowledge and experience related to the appropriate use of technology and ERP systems in a real estate development and property management environment;
• Extensive experience in managing an Accounting team of at least 10-15 people, within a real estate development organization with a proven track record of follow through to achieve results;
• Excellent oral and written communication skills with the ability to effectively communicate across all levels within the organization;

Expectations:
• Team Building/Direction/Support– The expectation is that the Property Controller/Senior Director will be an active leader, setting the bar for standards in the form of written expectations for each team member. It is also expected that the Property Controller/Senior Director will develop a policies and procedures guidebook, for the purposes of documenting processes and as a means for teaching and providing support and direction to the entire group. Annually, the Property Controller/Senior Director will set the group’s goals and objectives, in conjunction with the Trust’s objectives.
• People Development– The expectation is that the Property Controller/Senior Director will develop a succession plan for his/her team and to ensure a successful transition for a replacement in the event of an employee departure at any level. The succession plan will include an honest assessment of each candidate identified for succession and an action plan, which includes semiannual reviews, of progress towards the actions identified to position the individual for succession.
• Process Improvement and Innovation– The expectation is that the Property Controller/Senior Director will conduct “lessons learned” meetings and then implement the results of each meeting in which process improvements are identified. The Property Controller/Senior Director will also strive, continuously, to not only improve the property and asset management process, but also ensure that appropriate respect and attention is given by each member of his/her team to the other functional areas of the trust, our tenants, and outside vendors with which they must coordinate to accomplish their mission.
• Relationship Management– The expectation is that the Property Controller/Senior Director will own the property accounting process and the management of outside relationships as well as the relationships within the Organization.
